Terms and Conditions

1. The Agreement & Contracting Entity

These Terms and Conditions constitute a legally binding agreement between you (whether individually or acting on behalf of a gymnastics club, school, or competition organising committee) and Live Gym Scorer ("we", "us", or "our"), governing your access to and use of the Live Gym Scorer self-service software application, web platform, and related scoring tools (the "Service").

2. Self-Service Model & Customer Responsibilities

Live Gym Scorer is provided strictly as self-service software. By subscribing or purchasing passes, you acknowledge and agree that:

• Hardware & Equipment: You are solely responsible for providing all necessary computing hardware, including control desk laptops, judge tablets or smartphones, cables, displays, and backup battery packs.
• Connectivity & Power: You are solely responsible for ensuring adequate venue internet connectivity (via venue Wi-Fi or 4G/5G mobile hotspot) and electrical power distribution.
• Competition Setup & Rules: You are responsible for accurately entering gymnast rosters, configuring rotation orders, verifying category tariffs, and selecting appropriate governing body rules (e.g. FIG Code of Points or British Gymnastics criteria).
• Judges & Results Approval: You are responsible for appointing qualified judging officials. While the Service performs calculations and records audit logs, final results verification and podium approval rests solely with your appointed competition directors and head judges.

3. Accounts, Access & Organisation Tenancy

To use the Service for live events, you must register a club account. You agree to maintain accurate account information, protect account credentials, and immediately notify us of any unauthorised access. Account sharing between separate unaffiliated gymnastics clubs is prohibited.

4. Pricing, Plans & Commercial Terms

We offer three tiers under our transparent commercial model:

• Free Test Competition (£0): Allows exploration of the complete scoring, leaderboard, and export workflow with up to 10 test gymnasts. It is not licensed for official paid live competitions.
• Event Pass (£69 one-off): Grants complete production access for one named competition, including all associated sessions, rounds, apparatus, judges, and published results. There are no per-gymnast surcharges and no automatic renewals. An Event Pass is consumed when an official competition is activated for live scoring.
• Club Annual (£249/year): Grants complete production access for unlimited competitions organised by the subscribing club during the active paid subscription year. Billed annually in advance. Renews automatically until cancelled.

Prices are displayed in GBP. Live Gym Scorer is currently not VAT registered; no VAT is added or charged. Payment processing is conducted securely via our third-party payment provider (Stripe). We never store payment card numbers directly.

5. Cancellation, Refunds & Active Event Protection

You may cancel an annual subscription at any time through your self-service billing portal. Upon cancellation, your access remains active until the end of your paid billing period. Event Passes are non-refundable once consumed by an activated live competition.

Active Event Protection Guarantee: In the event of a temporary billing or card renewal failure during an active competition, our platform engages a protected event window (up to 72 hours) to ensure active floor scoring and results publication are not abruptly interrupted.

6. Customer Data Ownership & Privacy

Your club retains 100% ownership of all participant rosters, scores, and results data. Live Gym Scorer acts as a Data Processor under UK GDPR. You warrant that your club possesses the necessary parental and participant consents to upload gymnast information and publish results. Refer to our Privacy Policy for full details.

7. Intellectual Property & Acceptable Use

Live Gym Scorer owns all intellectual property rights in the software, interfaces, calculation algorithms, and branding. You are granted a limited, non-exclusive, non-transferable licence to access and use the Service for your club's competitions. You may not reverse engineer, decompile, resell, or distribute the platform.

8. Availability, Maintenance & Disclaimers

The Service uses cloud storage and provides competition backup and recovery tools. A working internet connection is required for cloud score submission, and automatic offline submission is not guaranteed. You should save a complete competition backup before an event. Accordingly, the Service is provided on an "as is" and "as available" basis. We do not warrant that operation will be completely uninterrupted or error-free during severe venue network outages or third-party telecom disruptions.

9. Limitation of Liability

To the maximum extent permitted by English law, Live Gym Scorer shall not be liable for any indirect, incidental, or consequential damages, loss of profits, or disruption of competition schedules. Our total aggregate liability arising out of or related to this Agreement shall be limited to the total amount paid by your club in the twelve (12) months preceding the claim.

10. Governing Law & Jurisdiction

These Terms and Conditions and any dispute or claim arising out of them shall be governed by and construed in accordance with the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction.
